Everything you need to roster a small team
Built for cafés, ice creameries and other small shops with casual and junior staff. Here’s what’s in it today, and what’s coming next.
Rostering
A week grid that feels like a spreadsheet you can trust.
- People, area and day views
- See the week by person or by area, or one busy day hour by hour.
- Drag, or use the keyboard
- Move and copy shifts by dragging, or with the keyboard and menus. Nothing needs a mouse.
- Copy last week
- Start from last week’s roster and change what’s different.
- Week templates
- Save a usual week as a template and start any week from it.
- Fill the week
- Shows which shifts the week still needs and drafts them from availability and your rules. Every suggestion says why, and you accept or reject each one. No AI involved.
- Coverage targets
- Set how many people each area needs and when, and see where the week is short.
- Open shifts on the roster
- Shifts nobody is on yet sit in their own row, so gaps are obvious.
- Undo and redo
- Every change to the roster can be undone, so trying an idea is safe.
- Publish with a summary
- See who’s affected before you publish. Changes after publishing are marked until you publish again.
- Print the week
- A printable roster for the staffroom wall.
- Find cover
- Find who can take an open shift, with the people best suited first.
- Staff confirm their shifts
- After you publish, staff confirm their shifts and you can see who hasn’t yet.
Checks before you publish
Warnings in plain words, before the roster goes out.
- Leave and availability
- A shift on someone’s approved leave blocks publishing. A shift outside their availability is a warning.
- Overlaps and rest
- Double bookings and too little rest between shifts are flagged as you build.
- Hours and limits
- Daily and weekly hours, days in a row, shortest shifts and breaks, checked against limits you set.
- Junior and school rules
- Set school hours, term dates and limits for under-18s. The rules are yours to set; the app checks the roster against them.
- Opening hours
- A shift outside the shop’s opening hours is flagged.
- Qualifications
- Say which areas need a qualification, such as food safety, and see who’s missing one or has one that’s expired.
- Qualification expiry warnings
- See qualifications that are about to expire before they cause a gap.
- Reasons for exceptions
- Need to publish anyway? Add a reason, and it’s kept with the roster.
The staff app
One-thumb, on the phone they already have.
- Home and next shift
- Their next shift up front: when, where and who they’re working with.
- My shifts
- Upcoming and past shifts, grouped by week.
- No app store
- It runs in the browser and can be added to the home screen.
- Open shifts and swaps
- Staff pick up open shifts and arrange swaps from their phone; you approve them with the checks already done.
Availability and leave
Who can work when, without the group chat.
- Availability
- Staff set when they can and can’t work, repeating weekly or for one day.
- A month calendar
- Each person plans when they can and can’t work on a month calendar, with the hours they’d like.
- Leave requests
- Staff ask for time off from their phone. You approve or decline, and the roster knows.
- School holidays
- Ask staff which school-holiday days they can work. Their answers become availability.
- One place for requests
- Leave, availability changes and school-holiday answers wait for you in one list.
Reminders and messages
The right people hear about it, once.
- Shift reminders
- A notification before each shift, on phones that allow it. Each person picks how early.
- Announcements
- Post a note to the whole team, one location or one area, and ask people to confirm they’ve read it.
- Publish notifications
- When you publish, the people affected hear about their changes, with a warning before short-notice changes.
- Test notification
- Send yourself a test notification to check this phone gets them.
Calendars and imports
Shifts land where people already look.
- Google Calendar
- Each person can connect their Google Calendar. Their shifts appear there and stay up to date.
- Calendar feed
- A private link for Apple Calendar, Outlook or any app that subscribes to calendars.
- Import your staff list
- Use the CSV from Deputy, Tanda, Employment Hero, When I Work or RosterElf as it is, or a simple spreadsheet.
Your team and your data
Setup that takes an afternoon, not a week.
- One sign-up link
- Share a link in the staff group chat. People make their own login and you approve them.
- Roles
- Owners, managers, supervisors and staff each see what they need.
- Two-step verification
- Owners can be required to use an authenticator app when they log in.
- A record of changes
- Publishing, edits after publishing, role changes and exports are logged.
- Export everything
- Owners can download all of the business’s data as spreadsheets at any time.
- Stored in Australia
- Your data is kept in Sydney, separate from every other business.
- Add another shop
- Run another shop from the same login, on its own plan.
- Sign in with Google or Microsoft
- Log in with the work account you already have.
Time and attendance
Clock in on a shared tablet and approve the hours.
- Time clock
- Clock in and out on a shared tablet with a PIN.
- Timesheets
- Rostered against actual hours, ready to approve and export.
The AI manager
Included in AI Plus.
- Ask in plain words
- “Fill Saturday and give Mia more weekend shifts.” It drafts the changes and you confirm each one.
- Availability in words
- Staff type when they can work, and see what it understood before saving.
- Never on its own
- It never publishes the roster, messages your team or changes pay.
It works with names, shifts and availability, never dates of birth, pay, contact details or notes. See AI Plus pricing.
